A Real Factory Pickup Experience: Why Accurate Cargo Information Matters

Why Do We Ask So Many Questions Before Arranging a Factory Pickup in China?

Many customers are surprised by the number of questions we ask before arranging a pickup from a factory in China.

''Why do you need the cargo dimensions?''

''Why do you need to know the weight?''

''Isn’t it just a matter of sending a truck to collect the goods?''

In reality, every piece of information plays an important role in planning a successful pickup.

Recently, a customer requested a pickup from a factory in Dongguan, with the cargo to be transferred to our Guangzhou warehouse before being shipped to Malaysia. The distance between Dongguan and Guangzhou is relatively short, so arranging transportation was not a problem.

Based on the information provided, we scheduled a vehicle and dispatched our driver to the factory.

However, after arriving on site, our driver quickly realised that the actual cargo was significantly larger than originally described.

The truck that had been assigned simply could not accommodate the shipment.

Rather than attempting to overload the vehicle or compromise cargo safety, we made the decision to suspend the pickup, return to base, and arrange a larger truck for the collection.

It was an unexpected delay, but it was the safest and most practical solution.

Situations like this are more common than many people realise.

A few photos cannot always accurately represent the actual dimensions of the cargo. In some cases, additional protective packaging increases the overall size. In others, the number of packages or total weight differs from the original information provided by the supplier.

These details directly affect vehicle selection, loading arrangements, manpower requirements, and transportation costs.

The following day, we dispatched a larger truck, and the pickup was completed successfully.

As the vehicle was returning to our Guangzhou warehouse, another small issue arose.

To ensure the cargo arrived before the warehouse receiving cut-off time, the driver chose the expressway instead of local roads.

Only afterwards did we realise that the expressway toll had not been included in the original quotation.

This was not an additional charge created by the logistics provider. It was an actual transportation cost resulting from a route adjustment made during the pickup process.

Freight transportation is rarely as straightforward as sending a parcel through a courier service.

Every factory has different loading conditions. Every shipment has different dimensions, handling requirements, and access limitations. Even factors such as road restrictions, loading equipment, or temporary site conditions can influence the final transportation arrangement.

For this reason, some pickup charges can only be estimated based on the information available before collection. Once the cargo is physically inspected on site, minor adjustments may occasionally be necessary.

This is why professional freight forwarders always encourage customers to provide complete shipment details before arranging a pickup.

Information such as the cargo description, quantity, dimensions, weight, pickup location, and available loading equipment allows us to assign the appropriate vehicle, plan the operation efficiently, and minimise unexpected delays.

In this case, the cargo was eventually collected successfully from Dongguan, transported safely to our Guangzhou warehouse, and prepared for the next stage of its journey from China to Malaysia.

From a customer’s perspective, the final update may simply read:

''Cargo Received at Warehouse.''

Behind those few words, however, is a coordinated process involving vehicle scheduling, route planning, on-site assessments, and continuous communication between the factory, driver, warehouse team, and logistics coordinator.

Successful freight forwarding is not simply about moving cargo from one location to another.

It is about managing the countless variables behind the scenes, solving unexpected challenges professionally, and ensuring every shipment continues its journey as safely and efficiently as possible.
