A Real Door-to-Door Sea Freight Case Study

Sometimes, the biggest challenge in international shipping is not the transportation itself.

It begins with communication.

Our customer from Kedah, Malaysia, found Newfly through Google while urgently trying to arrange the shipment of industrial cables from a supplier in Hefei, Anhui, China.

The supplier communicated only in Chinese.

Our customer was a Malay business owner who spoke Malay and basic English but could not read or understand Chinese.

The supplier sent the factory address, pickup location and shipment details entirely in Chinese characters. To the customer, they were simply unreadable.

Both parties wanted to proceed with the order, but they had no practical way to communicate with each other.

That was where Newfly stepped in.


More Than Freight Forwarding

Our role was not limited to arranging transportation.

We became the communication bridge between the Malaysian buyer and the Chinese supplier.

After reviewing the purchase documents, we confirmed that the shipment was sold under EXW (Ex Works) terms.

Many first-time importers are unfamiliar with EXW.

Under EXW, the supplier’s responsibility ends once the goods are made available at the factory.

From that point onwards, pickup, inland transportation, export customs clearance, international freight, import clearance and final delivery become the buyer’s responsibility.

We explained these responsibilities clearly to the customer in Malay and English, while communicating directly with the supplier in Chinese to verify every shipping detail.

Before arranging pickup, we confirmed:

  • Factory pickup address
  • Contact person
  • Pickup procedure
  • Cargo dimensions
  • Gross weight
  • Packaging condition
  • Cargo photographs

Only after every detail had been verified did we proceed with the transportation arrangement.


Factory Pickup in Hefei, Anhui

Many people assume that arranging pickup anywhere in China can be completed on the same day.

In reality, cross-province collections require proper planning and scheduling.

Although same-day pickup was not feasible for this shipment, Newfly successfully arranged collection within 48 hours through our transportation partner.

The shipment consisted of approximately 250 kilograms of industrial cables .

Considering the pickup location in Anhui Province, this turnaround time was both practical and efficient.


Inland Transportation to Foshan Warehouse

After collection, the cargo was transported by road from Hefei, Anhui to our warehouse in Foshan, Guangdong.

The domestic journey took approximately three days.

Upon arrival, the shipment entered our standard warehouse handling process.

This included:

  • Warehouse receiving
  • Cargo identification
  • Arrival photographs
  • Visual inspection
  • Weight verification
  • Dimension measurement
  • System check-in

All records were shared with the customer for confirmation before export arrangements proceeded.


Export Customs Clearance and Ocean Freight

Once approved by the customer, the cargo was scheduled for container loading.

Export documentation was prepared, followed by customs clearance before the container was transported to Nansha Port, Guangzhou .

The export process was completed smoothly.

There were no customs inspections, no cargo holds and no unexpected documentation issues.

The vessel’s original ETD was 25 June 2026.

Although departure was delayed by one day, this falls within normal shipping schedule adjustments and had no significant impact on the overall transit time.


Arrival at Port Klang

The ocean voyage to Malaysia took approximately six days.

The vessel arrived at Port Klang one day later than the original ETA, which is considered normal within international shipping operations.

More importantly, there were no delays caused by customs inspections, port congestion or operational disruptions.

The shipment remained on schedule throughout the voyage.


Customs Clearance and Final Delivery

Once the container arrived in Malaysia, import documentation and customs clearance were processed immediately.

Commercial cargo clearance was completed within approximately two working days.

The container was released to our warehouse on the same evening, where unloading was completed in approximately two hours.

The final delivery was then coordinated to Kedah using our local transportation partner.


Delivery Planning Matters

Before dispatch, the customer informed us that delivery could not be arranged with only one day’s notice.

Their receiving facility required at least three days’ advance notice to prepare manpower and unloading arrangements.

We immediately adjusted the delivery schedule and coordinated with our transport partner to meet the customer’s operational requirements.

The shipment was delivered according to the agreed schedule without disruption.

Every stage of the shipment was completed successfully.

The project ran from 18 June 2026 to 7 July 2026, with the cargo arriving safely and without cargo damage, customs inspection or unexpected delays.

For us, this was more than just another shipment from China to Malaysia.
