Office Fit-Out Trends Malaysia 2026: The Rise of Phone Booths and Acoustic Pods

Walk into almost any new corporate office in Kuala Lumpur today and you will find at least one. A freestanding pod in the corner. A glass-walled booth near the pantry. A compact room-within-a-room where someone is on a video call while the rest of the floor carries on around them. The office phone booth — also called an acoustic pod, office pod, or soundproof booth — has moved from a novelty to a standard specification in Malaysian office fit-outs.

This article explains why, what to know before you plan for one, and how to integrate acoustic pods into your next office renovation or new fit-out.

What Is an Office Phone Booth or Acoustic Pod?

An office phone booth is a self-contained, freestanding unit designed to provide a quiet, private space within an open-plan office. It is not a permanent room — it typically requires no wet works, no ceiling demolition, and no authority approval — which is a key reason it has become popular in Malaysia where office leases are often short and tenants want flexibility.

Depending on size and configuration, these units go by several names in the market:

Name Seats Best Used For
Phone booth / phone pod 1 person Private calls, short video meetings, focus work
Discussion pod / work pod 2 persons One-on-ones, interviews, mentoring sessions
Meeting pod / collaboration pod 4–6 persons Team huddles, client calls, brainstorming
Acoustic pod / soundproof pod 1–4 persons General term; emphasises noise reduction performance

Most units ship as flat-pack modules and assemble on-site in a few hours. They include built-in ventilation, LED lighting, power sockets, and USB ports as standard.

Why Malaysian Companies Are Specifying Them Now

Three forces have collided to drive demand in the Malaysian market.

1. The open-plan problem is real. Most corporate offices built or renovated in the past decade adopted open-plan layouts. The intention was collaboration. The result, in many cases, was noise, distraction, and a shortage of private space for calls. With more employees handling international stakeholders and hybrid meetings daily, having nowhere quiet to take a call has become a genuine productivity issue — not just a comfort preference.

2. Hybrid work is now permanent. Post-2023, Malaysian MNCs and corporates have largely settled into a hybrid model — some days in office, some remote. When employees are in the office, they spend a higher proportion of their time on video calls with colleagues who are not in the building. An open plan with no acoustic zones simply does not support this working pattern.

3. Building more meeting rooms is expensive. Adding a glass-walled meeting room to an existing fit-out involves partitioning works, power, data, air-conditioning, and sometimes authority submissions — easily RM 30,000 to RM 80,000 per room. An acoustic pod delivers a similar function for a fraction of the cost, with zero structural works.

What to Plan for Before You Specify One

Acoustic pods look simple but require proper planning to work well in a live office environment. Here is what to consider before your fit-out contractor places an order.

Floor load. Most pods weigh between 200 kg and 800 kg depending on size. Confirm your floor slab specification — particularly in older buildings — before committing to a large unit.

Power and data routing. The pod needs a nearby power source and, ideally, a hardwired data point. Plan the pod location during the fit-out M&E design stage, not after all conduits are set.

Air-conditioning proximity. The pod's internal ventilation fan circulates air but does not actively cool. In Malaysia's climate, a pod placed far from an AC vent becomes uncomfortable quickly. Factor this into your space plan.

Egress and fire strategy. A pod placed in a corridor or blocking a fire exit will not pass BOMBA inspection. Your fit-out team should review placement against the approved fire escape plan.

Acoustic performance rating. Not all pods are equal. Check the STC (Sound Transmission Class) rating — a minimum of STC 30 is acceptable for call privacy; STC 35–40 is noticeably better. Cheaper units at RM 5,000–RM 8,000 often achieve only STC 25 or below.

How to Integrate Acoustic Pods Into a Full Office Fit-Out

A pod dropped into a finished office rarely looks right. The better approach is to plan for it from the start of your fit-out design — positioning, power, data, flooring, and the surrounding furniture layout all designed as a system.

At KHD, we have begun integrating acoustic pods into our fit-out packages as a standard option. Our design team plans pod placement during the space planning phase — ensuring power and data are routed correctly, the pod sits within the AC zone, and the surrounding area is designed to complement rather than conflict with the unit. The result is a cohesive office environment rather than a pod that looks like it was placed as an afterthought.

Our recent projects — including a 2,000 sq ft fit-out completed in 4 weeks and a 5,000 sq ft MNC project delivered in 6 weeks — demonstrate that adding acoustic pod specification to a project does not need to extend the programme when it is planned upfront.

Frequently Asked Questions

Do I need authority approval to install an office phone booth in Malaysia?
Generally no — a freestanding pod that does not connect to the building's M&E system and is not a permanent structure does not require DBKL or BOMBA submission. However, if your office is in a building with strict alteration restrictions, check with building management before purchasing.

How much does an office phone booth cost in Malaysia?
Single-person units range from RM10,000 to RM 20,000 depending on acoustic performance, materials, and features. Meeting pods for 4–6 persons range from RM 20,000 to RM 55,000. Supply and installation as part of a full fit-out package typically offers better pricing than purchasing standalone.

Can I move the pod if we relocate offices?
Yes — most pods are designed for disassembly and reinstallation. This is one of their key advantages over a permanent built room. Expect a half-day to one full day for a qualified team to disassemble, transport, and reassemble a standard unit.

How many pods does my office need?
A general rule used by workspace designers: one pod per 15–20 workstations for a hybrid-heavy team. A 50-person office on hybrid would typically benefit from 2–3 single pods and 1–2 meeting pods as a starting specification.

What is the lead time for sourcing and installing an acoustic pod in Malaysia?
Local stock units can be delivered and installed in 1–2 weeks. Imported or custom units typically require 6–10 weeks. If you are planning a pod as part of a new fit-out, flag it to your contractor early so the programme accounts for lead time.

Can KHD supply and install office pods as part of a fit-out project?
Yes. We offer acoustic pod supply, space planning, and installation as part of our design-and-build fit-out packages. Contact us to discuss specifications and pricing for your project.
